What is RoomCloud?

RoomCloud is a hospitality distribution platform that combines a Channel Manager, a direct Booking Engine, Metasearch connectivity and PMS integrations in a single web-based extranet.

Adriatic-coast hoteliers use it to synchronise rates, availability and reservations across 400+ OTA portals from one dashboard. That cuts manual work and reduces the overbooking risk that hits family-run properties in Rimini, Riccione and Cattolica during peak weeks in July and August.

Which types of properties does RoomCloud serve — hotels, apartments, holiday homes?

The platform is built for a broad spread of Adriatic accommodation: 3- and 4-star seaside hotels, apartment residences, boutique guest houses, agriturismi, holiday-home portfolios and small chains up to about 300 rooms per group.

Room types can be configured as single units, dorms, apartments with kitchenettes or multi-bedroom villas. If your inventory mixes rooms and apartments under one legal entity, the RoomCloud portal treats them as a single property with separate rate plans.

How does RoomCloud differ from SiteMinder, Cloudbeds and Octorate?

Compared to SiteMinder we lean into deep OTA coverage for the Italian and Adriatic markets — Emilia-Romagna, Marche, Puglia — instead of a global one-size template. Against Cloudbeds we ship separate Channel Manager, Booking Engine and PMS modules you can license individually.

Compared to Octorate we bundle Metasearch and Revenue Management inside the Growth plan without per-transaction fees. Distribution and support are handled from the Milano office in CET business hours, which most Italian and Adriatic operators prefer.

On how many OTA portals can RoomCloud sell my inventory?

The connectivity layer covers 400+ OTA portals, wholesalers and metasearch surfaces. That includes Booking.com, Expedia, Airbnb, Agoda, Hostelworld, HRS, Hotelbeds, Tripadvisor Rentals, Google Hotel Ads and Trivago, plus regional Adriatic and southern-European players like Traveland, Halalbooking and MondialHotel.

Which channels you activate is your choice — the Starter plan bundles 50, Growth bundles 200, Enterprise unlocks the full catalogue. Each connection is two-way for availability, rates and reservations.

Does RoomCloud include a Booking Engine and Metasearch, or only Channel Manager?

RoomCloud is a full distribution stack, not only a Channel Manager. The Booking Engine is a mobile-first widget that embeds into your hotel website, supports multi-currency, promo codes, upsells and Adyen or Stripe payments.

Metasearch Optimizer pushes availability to Google Hotel Ads, Trivago, Tripadvisor and Kayak with automatic bid-adjustment rules. On the Growth and Enterprise plans, all three surfaces share one calendar and one pricing engine.

How do I log in to the RoomCloud extranet?

Every active property gets a personal roomcloud login URL after onboarding. To access the extranet, open your portal at the address shared by your success manager, enter the email associated with your roomcloud my account profile and the credential set at activation.

The roomcloud extranet loads your dashboard with today's arrivals, availability grid and channel status. If your team uses SSO, the sign in flow is delegated to your identity provider and completes in one click.

Where can I find the RoomCloud login page and my dashboard?

The roomcloud login page is linked from the top of this website and from every welcome email we send after contract activation. Once you log in, the roomcloud dashboard opens on the daily overview tab with occupancy, revenue-per-available-room and pickup for the next 30 days.

From there you jump into rates, inventory, reservations, reports and channel diagnostics. If you access the roomcloud portal from an unrecognised device, a verification email is sent to the account owner.

RoomCloud sign-in not working — how do I recover access?

If your roomcloud sign in fails, first confirm you are using the correct property URL — subdomains differ between sandbox, staging and production tenants. Next, check that your caps-lock is off and that your email address matches the one on the roomcloud my account record.

If the credential prompt keeps rejecting you, use the "recover access" link on the roomcloud extranet page or email support@roomcloudhotels.org with your P.IVA or REA number so the team can restore your roomcloud access within one business hour.

I forgot my RoomCloud password — how do I reset it?

Open the roomcloud login screen and use the "forgot password roomcloud" link below the credentials field. Enter the email tied to your roomcloud my account and we send a one-time reset link valid for 30 minutes.

Follow it, pick a new credential of at least 12 characters with mixed case, digits and one symbol, and the roomcloud portal is available again. If the reset email does not arrive within five minutes, check spam and quarantine, then call +39 02 4531 6720 and we regenerate the link manually.

Can I enable two-factor authentication for my team on RoomCloud?

Yes. Every property with roomcloud access can turn on two-factor authentication for individual staff or enforce it account-wide. From your roomcloud dashboard, open Settings → Security and toggle 2FA per user; supported factors are TOTP apps such as Authy, Google Authenticator or 1Password, plus email codes as a fallback.

When 2FA is enforced, every roomcloud sign in on a new device asks for the second factor. Front-desk shared workstations can use device-trust rules to skip repeat prompts on approved terminals.

How much does RoomCloud cost per month for a 20-room Adriatic hotel?

A typical 20-room seaside hotel in Rimini, Riccione or Cattolica lands on the Starter plan at €109 per month, or Growth at €219 per month if Metasearch and the Revenue Manager are needed. Both plans include the Channel Manager, Booking Engine and the standard OTA channel bundle — no per-reservation surcharge, no activation fee on Booking.com or Expedia.

Fees are in EUR, billed monthly, exclude Italian IVA (VAT 22%), and cancellable with 30 days notice from your side. Electronic invoicing is issued through the Sistema di Interscambio (SdI).

Is there a guided walkthrough or free trial?

Yes — every prospective property gets a 14-day trial of the full platform, kicked off with a guided walkthrough on the roomcloud extranet by a Milano-based onboarding specialist. During the trial your success manager loads a sandbox with your room types, rate plans and two OTA test connections so you can evaluate the extranet on real inventory before you commit.

There is no card required upfront. If you decide to continue at the end of the 14 days, the sandbox is promoted to production and existing rate plans, mappings and photos migrate over without re-entry.

How long does onboarding take for a new property?

For a standard 20-room Adriatic hotel with three room types and up to eight OTA channels, onboarding takes 4 to 6 business days. Day 1 is a 45-minute discovery call, days 2–3 cover inventory and rate-plan mapping, days 3–4 activate OTA connections and the Booking Engine widget, day 5 is live training and go-live with your team.

Groups and apartment residences with 60+ units run closer to 10 business days because rate-plan trees and unit mapping take longer. A hands-on pilot week keeps a parallel run against your existing channel manager until parity is signed off.

Do you help migrate rate plans from Booking.com Extranet or Expedia Partner Central?

Yes. Migration is included in every onboarding at no extra cost. We export your active rate plans, restrictions and mappings from Booking.com Extranet or Expedia Partner Central, rebuild them inside RoomCloud with equivalent min-stay, close-out and derived-rate rules, and validate parity on both sides before the switchover.

During the cut-over week we run the two systems in parallel so no live booking is lost. A written handover document covers each channel mapping for your records.

What are your support hours from the Milano office?

Live support runs 08:00–20:00 CET, Monday to Friday, from RoomCloud Distribuzione S.r.l. in Milano (P.IVA IT 04739561028). Email support@roomcloudhotels.org gets a first response inside two business hours during that window; the phone line +39 02 4531 6720 is answered in Italian and English.

Outside business hours the on-call channel-health monitor keeps OTA connections alive and pages an engineer if a Booking.com or Expedia sync fails, so your inventory stays accurate overnight.
