Refund Policy

Effective 2026-04-01.

1. Subscription refunds

Monthly subscriptions may be cancelled at any time with 30 days notice. Fees paid for the notice period are non-refundable, but no further charges apply after that period ends.

2. First-month satisfaction guarantee

New Clients that cancel within the first 14 days of their initial subscription receive a full refund of the first month's fee. This does not apply to setup fees once onboarding has begun.

3. Setup fees

The one-off Setup Service fee (€490) becomes non-refundable once inventory mapping starts. If the Client withdraws before that point, we refund 80% and retain 20% to cover kick-off work.

4. Payment errors and duplicates

We refund duplicate charges or clearly erroneous debits within 5 business days after receiving a written request at support@roomcloudhotels.org.

5. Requesting a refund

  1. Send an email from your account address to support@roomcloudhotels.org with your invoice number.
  2. We reply with confirmation within 3 business days.
  3. Approved refunds are processed to the original payment method within 10 business days.

6. Disputes

Unresolved refund disputes go to the Foro competente: Tribunale di Milano, in line with the Terms of Service and Italian consumer-protection law (Codice del Consumo, D.Lgs. 206/2005).
